- [00:03:18.148]So this one is much less on criteria in a way,
- [00:03:23.349]and I'm sorry I'm gonna look at this camera
- [00:03:24.905]so it doesn't seem like I'm always looking in the one room.
- [00:03:28.876]So we're gonna really just talk more about nuts and bolts,
- [00:03:31.697]brass tacks as a colleague of mine says.
- [00:03:34.402]So, my thing's not working.
- [00:03:38.860]So to give you an overview of the process,
- [00:03:42.227]there are bylaws at the University of Nebraska system.
- [00:03:46.418]I'm not gonna review them because they're fairly general.
- [00:03:49.576]But there are some general guidelines
- [00:03:51.178]at the university system, now you come down
- [00:03:53.222]to Nebraska Lincoln, University of Nebraska Lincoln,
- [00:03:56.577]and it is by the Office of Academic Affairs
- [00:04:00.246]that deals with faculty promotion and tenure,
- [00:04:03.195]so this is the link to that website
- [00:04:05.644]and if you go there you will find,
- [00:04:09.441]if I escape here, sorry.
- [00:04:12.889]Exit, you will find that there are a bunch
- [00:04:17.626]of information at that website which is pertinent
- [00:04:21.759]to of course now it's so big I can't see it.
- [00:04:26.182]So, this is my, well I will skip it for right now.
- [00:04:31.906]But go to that webpage and you will find
- [00:04:33.497]a bunch of documents and the two that are
- [00:04:35.389]most important are the two that I have linked up here.
- [00:04:38.013]So there's one that is officially called the Tenure Guide
- [00:04:40.915]which is this document, and then there's another
- [00:04:42.970]document which discusses apportionment categories.
- [00:04:46.198]So if you look at those two documents,
- [00:04:48.439]one of 'em, this is the Tenure Guide
- [00:04:51.515]and it's really not well-formatted in my opinion,
- [00:04:56.357]but it does discuss all the general processes and procedures
- [00:05:02.046]and criteria for promotion and tenure at the university.
- [00:05:05.784]The other document talks about apportionment categories
- [00:05:09.104]so it defines what teaching is, so for example,
- [00:05:14.909]teaching is considered to be preparation of a course,
- [00:05:18.346]time in the classroom, time with students,
- [00:05:20.923]so it tried to be a little more specific
- [00:05:22.604]about how we split it out into all these
- [00:05:24.972]different apportionment categories.
- [00:05:26.691]'Cause as you may recall we have three
- [00:05:28.281]apportionment categories teaching, research and service
- [00:05:31.230]and so this document was the university's guide
- [00:05:34.098]for understanding what is teaching, what is research,
- [00:05:37.766]and what is service.
- [00:05:39.601]The college has already taken a look at this
- [00:05:42.062]and basically integrated it into our criteria document.
- [00:05:46.486]So right now we were at the university level
- [00:05:49.330]they have guidelines and apportionment categories,
- [00:05:51.722]and the college then took that and we have our
- [00:05:54.671]own documents dealing with promotion and tenure.
- [00:05:57.399]These are the five that are the most specific.
- [00:05:59.942]These are all hyperlinked and I will share this
- [00:06:02.031]PowerPoint with everybody so that you'll be able
- [00:06:04.156]to look back at it later.
- [00:06:06.164]But there are procedures, then there are
- [00:06:09.891]the specific criteria, how do you document everything,
- [00:06:13.664]and also how your CV goes.
- [00:06:16.045]So I'll review some of this today and then
- [00:06:18.668]you should also ask your own unit
- [00:06:21.048]about departmental processes, because that's where I
- [00:06:23.939]at the college level we know less
- [00:06:25.449]and it is different in civil, or electrical,
- [00:06:27.689]or Durham School, or biological systems or computer,
- [00:06:29.860]and then all the units have slightly different
- [00:06:32.984]internal processes for how it works.
- [00:06:35.398]But at the college level we'll review some of that today.
- [00:06:39.624]So this figure is maybe a little hard to see in detail,
- [00:06:45.139]but on the right you see what the normal calendar
- [00:06:48.471]is for the College of Engineering P&T every year.
- [00:06:52.500]So every year we set this calendar for people
- [00:06:54.462]that are going up for promotion and tenure.
- [00:06:57.330]Those of you who are in your early years,
- [00:06:58.804]you don't need to know these details yet,
- [00:07:00.360]but just to know that every year there's a calendar
- [00:07:02.531]typically you're starting in the summer
- [00:07:04.714]and then when we come for fall semester that's when
- [00:07:07.488]there starts to be this review, we are meaning to
- [00:07:10.844]update this flow chart.
- [00:07:12.678]This flow chart is not as accurate
- [00:07:16.927]as the college P&T co-members would like.
- [00:07:19.139]But I still use it for now to show you that
- [00:07:21.472]there are different steps, right?
- [00:07:22.865]First you're going to make your dossier
- [00:07:25.745]and I'll talk about that in just a minute.
- [00:07:27.219]And once your dossier is done,
- [00:07:29.750]and sent to external reviewers for example,
- [00:07:32.989]then there will be a review at your unit level,
- [00:07:35.903]so that's your department level.
- [00:07:37.947]And two outcomes of that are either they give a positive
- [00:07:41.160]recommendation or they give a negative recommendation.
- [00:07:44.643]If it is a positive recommendation it goes
- [00:07:46.941]on to the next step, if it's a negative recommendation
- [00:07:50.506]there is one loop that you can invoke
- [00:07:53.443]which is called a reconsideration loop.
- [00:07:55.370]So you are able to respond to their negative letter,
- [00:07:58.760]and they will reconsider it and then take another vote
- [00:08:02.661]and then you only go through that loop once.
- [00:08:04.786]So that if you look in the calendar there's
- [00:08:06.377]time for every level to sort of review at it's own pace.
- [00:08:13.702]So the unit reviews and writes a letter
- [00:08:16.698]that goes to the chair of your department.
- [00:08:19.031]The chair reviews, same thing if it's positive
- [00:08:21.899]it just keeps moving up, and if it's a negative
- [00:08:24.093]recommendation there's a loop where you can review
- [00:08:26.915]and respond and then there's another,
- [00:08:31.280]that person can revise the letter if they wish.
- [00:08:33.788]Then it goes to the college level,
- [00:08:35.924]of which as I mentioned Kevin Cole is one of those members,
- [00:08:39.395]and I'll say a little bit more about that committee later,
- [00:08:41.601]and then it goes to the dean.
- [00:08:43.563]And so there's a loop at the dean as well,
- [00:08:45.990]and then finally it goes to the senior vice chancellor
- [00:08:49.670]of academic affairs and that happens approximately
- [00:08:53.629]at the end of January so all of this has to be done
- [00:08:56.543]every year by the end of January.
- [00:09:01.779]So, if we start at the bottom in a way,
- [00:09:04.287]like what is the university looking at?
- [00:09:07.108]The university guidelines from that tenure document,
- [00:09:10.289]this is that tenure document I pulled up earlier.
- [00:09:13.889]I pulled out a couple of phrases from it
- [00:09:15.816]because it's a long boring document.
- [00:09:17.650]But here is some of the phrases that I find
- [00:09:19.206]that are most interesting.
- [00:09:21.586]It already at the beginning sense
- [00:09:23.513]it is inherently judgmental, right?
- [00:09:25.835]That there is a subjective judgment being made
- [00:09:28.738]in this process but because it is this process
- [00:09:34.380]is meant to be very fair and equitable
- [00:09:38.386]and the same for everybody involved so that was the thing.
- [00:09:42.078]Designed to protect your academic freedom,
- [00:09:44.074]ensure accuracy, fairness, equity.
- [00:09:46.153]And the single common standard is excellence.
- [00:09:49.427]So excellence in your creativity
- [00:09:51.969]and the significance of your contribution.
- [00:09:54.999]It goes on to talk about how the processes for promotion
- [00:09:59.597]are different from the processes for tenure.
- [00:10:02.256]Or at least they're two different votes that are taken.
- [00:10:06.517]So when you're going up for promotion and tenure
- [00:10:08.920]it is not automatically bundled together.
- [00:10:11.660]There is usually a vote first taken about promotion,
- [00:10:15.874]so do you actually have a personal level of achievement
- [00:10:19.427]to get to that next rank, and then there's a separate
- [00:10:22.376]vote about tenure for those of you who are
- [00:10:24.872]on the tenure track route.
- [00:10:26.625]So granting that tenure's also a personal level
- [00:10:29.655]and achievement but there's also expectation
- [00:10:33.545]and prediction that you're gonna have future development
- [00:10:35.614]and performance so that we're making
- [00:10:37.396]a long term commitment to you.
- [00:10:39.555]So I didn't know that when I first went up that there
- [00:10:41.599]were two separate votes in a way that are taken
- [00:10:44.220]when you're going up for P&T.
- [00:10:46.878]And then I'm going to share two other quotes
- [00:10:49.316]from the document there's lots in there,
- [00:10:51.035]and I do recommend that as you get closer
- [00:10:53.043]that you can be looking at that document more carefully.
- [00:10:56.317]But for associate professors if you are going
- [00:10:59.011]to be going up for promotion to associate
- [00:11:01.135]this is what the UNL guidelines say,
- [00:11:03.713]"To attain that rank the candidate should be an
- [00:11:06.194]"accomplished teacher, where teaching is
- [00:11:08.284]"an assigned responsibility," and almost all
- [00:11:09.875]of our tenure track faculty in the College of Engineering
- [00:11:12.487]have some teaching responsibility,
- [00:11:14.623]"and have a significant record of scholarly
- [00:11:17.395]"and creative work in your teaching, research service
- [00:11:20.855]"in keeping with your responsibilities."
- [00:11:22.851]That means in keeping with your apportionment,
- [00:11:24.790]so this is why the apportionment can be an important
- [00:11:27.565]part of the conversation.
- [00:11:29.574]So that's associate professor.
- [00:11:32.081]And then the next one is on full,
- [00:11:33.869]because I know there are some folks maybe who are
- [00:11:35.262]interested in the full professor rank.
- [00:11:37.759]So full professor is when the achievements
- [00:11:41.811]are "sufficient in merit recognition
- [00:11:44.922]"as distinguished authorities in their field
- [00:11:48.312]"and they hold the professional respect."
- [00:11:50.866]And what I was told when I heard this repeatedly
- [00:11:54.071]is that it's national recognition.
- [00:11:56.636]So the fact is that when you're going up for professor,
- [00:11:58.958]you have attained national recognition in your area of work.
- [00:12:04.415]Sorry it doesn't mean that you're working on something
- [00:12:06.958]that has national impact, but just that you're nationally
- [00:12:09.384]recognized as the expert in a particular area.
- [00:12:13.146]So that's a brief overview of the university guidelines
- [00:12:17.198]and I'll just pause here.
- [00:12:19.694]There's a lot more information and we will
- [00:12:22.225]have a workshop every May so that when you're getting
- [00:12:25.986]closer to going up for promotion and tenure,
- [00:12:28.308]we'll cover some more details.
- [00:12:29.992]But this is just to give you an umbrella view.
- [00:12:32.360]But I'm gonna pause here and see are there questions so far

- [00:12:44.888]in two colleges how does the timing work?
- [00:12:48.312]Where does College of Engineering fall
- [00:12:49.706]in relation to our other college?
- [00:12:52.782]That is a good question.
- [00:12:55.441]So I will tell you that my understanding
- [00:13:00.654]is that most of the time the BSE and CSE folks
- [00:13:05.762]do meet our calendar, so it must be very similar.
- [00:13:10.139]It might be that it's happening parallel
- [00:13:12.183]because what happens in those colleges is that
- [00:13:16.234]they have two parents.
- [00:13:17.581]So the Computer Science Engineering reports
- [00:13:19.717]both to the College of Engineering
- [00:13:21.421]and College of Arts and Science,
- [00:13:22.733]and depending on the faculty member
- [00:13:24.207]they are tenured in one of those colleges.
- [00:13:26.413]But their review goes through both colleges
- [00:13:29.943]in a way it parallels.
- [00:13:31.255]So we don't wait for the IANR review
- [00:13:34.529]if that makes any sense, Nicole.
- [00:13:36.096]So, when you are going up your package will go
- [00:13:39.591]both through the College of Engineering
- [00:13:41.309]and through IANR and it will happen parallel.
- [00:13:46.162]Except one of them is primary which will be IANR
- [00:13:50.167]for your case and the other one is advisory.

- [00:14:51.030]Often times they are brought in at the associate level
- [00:14:53.654]and not at the tenure, but yeah I think it could happen
- [00:14:58.228]that there is absolutely two separate processes
- [00:15:02.198]so it could happen.
- [00:15:06.007]All right, so back to this calendar and loop,
- [00:15:08.944]I was just wanting to pull it up again
- [00:15:11.100]just to say there's this whole process,
- [00:15:13.129]unit, chair, college, committee, dean.
- [00:15:16.705]But before all of that you have to
- [00:15:18.388]prepare your dossier first, right?
- [00:15:20.432]So before any of this loop happens,
- [00:15:22.684]you have to prepare a dossier and that's what
- [00:15:24.565]I'm going to spend the next slides on,
- [00:15:26.376]because this is something you can start now.
- [00:15:28.350]Some of you this tenure process
- [00:15:30.393]is going to be three to five years out,
- [00:15:32.518]but there are things you can do now
- [00:15:33.830]to make your life easier when you are ready
- [00:15:36.152]to start going through that flow chart.
- [00:15:38.729]So there are documentation guidelines online
- [00:15:42.305]and the first page that I have here these are
- [00:15:44.186]the university documentation guidelines.
- [00:15:46.322]So you go to the university website
- [00:15:48.075]the Office of the Academic Affairs,
- [00:15:51.430]and they have all these forms ready for you.
- [00:15:54.344]At this point if your tenure is three to five years out,
- [00:15:58.640]you don't need to worry about transmittal forms.
- [00:16:00.312]But there are official transmittal forms
- [00:16:01.868]that you fill out, there's an official waiver
- [00:16:04.886]that you get to complete.
- [00:16:06.906]This is saying that you have the right
- [00:16:09.519]to see what anybody writes about you.
- [00:16:11.771]When they go out for external reviews,
- [00:16:13.663]and when they solicit them, you have the right,
- [00:16:16.159]to retain to be able to see who they are,
- [00:16:19.840]what they wrote, to respond to them,
- [00:16:21.976]all the way to the choice of not seeing any of them.
- [00:16:25.122]So at our annual workshops we talk more about that
- [00:16:28.106]but since that's a little bit down the road
- [00:16:30.068]I'm not gonna spend a lot of time on it right now.
- [00:16:32.762]But the course listing, so there's a formal course listing,
- [00:16:35.478]and evaluation form and I think this is one,
- [00:16:38.822]which is why I put that little red box,
- [00:16:40.088]that you could be doing now.
- [00:16:41.562]You could download that form, it's a PDF fillable,
- [00:16:45.370]and you can already be compiling this data regularly.
- [00:16:50.824]A PDF fillable form that you can download,
- [00:16:53.227]and you'll see that what it lists is term, course,
- [00:16:56.304]your title, how many are in it,
- [00:16:58.185]the evaluation average and the department average.
- [00:17:02.736]Okay what numbers are you gonna stick in there?
- [00:17:05.232]It depends on your unit, so this is where
- [00:17:07.658]you'll need to talk to your rep in your department,
- [00:17:11.443]because every unit is actually doing it
- [00:17:14.021]slightly differently, and for a while we've had
- [00:17:16.714]different student evaluation forms
- [00:17:18.235]on the Lincoln City Campus and on Scott Campus.
- [00:17:21.265]But I will tell you that at college wide
- [00:17:23.431]we're trying to unify that.
- [00:17:25.850]Did you notice there was an email that came out?
- [00:17:28.799]I don't know you might have deleted it.
- [00:17:30.390]But there was an email that came out
- [00:17:31.655]that talked about student evaluations.
- [00:17:33.699]They're proposing a new student evaluation form.
- [00:17:36.398]Yes, I remember this.
- [00:17:37.231]So this is where this could make a change,
- [00:17:39.866]that we're trying to unify it across the college
- [00:17:42.083]to use the same evaluation form across all
- [00:17:46.008]engineering classes and then to decide
- [00:17:47.970]how to fill these out.
- [00:17:50.431]In my department, the Durham School,
- [00:17:52.962]I think we take questions 22 to 29 and we average those.
- [00:17:57.757]So that's what I did, but like I said,
- [00:17:59.870]every unit may be a little different.
- [00:18:01.878]So it's good to maybe find out now,
- [00:18:04.340]what it is that you should be compiling.
- [00:18:07.207]Questions on the student evaluation process?
- [00:18:10.923]Yes.
- [00:18:11.782]In Omaha we only teach for students
- [00:18:14.646]from UN Omaha, right?
- [00:18:16.200]So the evaluation would be different,
- [00:18:18.569]so how do you consider the difference?
- [00:18:20.832]Yeah well this is why the college
- [00:18:22.597]is working on it, because it has been an issue.
- [00:18:25.581]All of the engineering classes on Scott Campus
- [00:18:28.867]we use a written form and you hand it out in class,
- [00:18:33.963]and they get very good returns.
- [00:18:35.937]In City Campus and East Campus they've been using
- [00:18:38.561]an online system and they get lower returns,
- [00:18:42.938]and you can imagine it's probably skewed too,
- [00:18:45.062]because it's either people who are really unhappy
- [00:18:47.199]or people who are really happy.
- [00:18:49.416]So that's why the college is trying to find a happy medium
- [00:18:52.969]to be like we'll all use this form.
- [00:18:55.720]I think the movement is to all get it online, frankly,
- [00:18:59.505]and trying to find ways of making sure
- [00:19:01.998]that our students are all filling them out.
- [00:19:04.378]Like maybe you do it in class on one of the last days
- [00:19:07.327]of classes you just say, "Okay. everybody pull out
- [00:19:09.696]"your device, we're gonna fill out student evaluations."
- [00:19:12.807]People talked about tying them to,
- [00:19:14.827]you have to turn in an evaluation
- [00:19:15.895]before your grade is released.
- [00:19:18.136]These are some of things that are being discussed
- [00:19:20.876]at the college level, I am not on that committee.
- [00:19:23.059]But, so, soon I think maybe it will take a few years
- [00:19:27.865]but we're trying to make it more consistent, so.
- [00:19:33.345]I do have a question because I'm
- [00:19:34.773]going to teach through the TV next semester.
- [00:19:37.902]My feeling is the evaluation for a TV class
- [00:19:40.453]will be lower than a regular class.
- [00:19:42.937]So how do you?
- [00:19:44.040]Yeah, and you're right.
- [00:19:44.873]There's nowhere on this form right that says
- [00:19:46.780]this was a TV class or a distant class.
- [00:19:50.345]At this point I would probably recommend that you can
- [00:19:52.434]put it on here, and that you also have a place
- [00:19:54.606]which you'll see that you can make a statement.
- [00:19:57.705]A teaching statement and you can also clarify
- [00:19:59.842]it on your teaching statement that that's a reason,
- [00:20:03.118]and your belief.
- [00:20:04.267]And the other thing that I would say,
- [00:20:05.719]Kevin you can comment, I'm sorry he had to leave.

- [00:30:08.870]to do comparisons between all the units.
- [00:30:11.087]So we do have it and I will send you
- [00:30:13.943]after this event a preliminary Word doc,
- [00:30:18.529]it's different from the one you can get online because
- [00:30:20.956]mine actually is pre-populated with some actual data.
- [00:30:25.124]So then you can see how it can easily
- [00:30:28.270]be modified to your own CV.
- [00:30:30.406]So I definitely encourage you to be updating
- [00:30:33.181]that regularly rather than waiting until
- [00:30:34.783]the summer before you go up,
- [00:30:37.024]that it could be helpful to do it.

- [00:31:42.672]consciously thinking about your philosophy
- [00:31:45.540]and how you are growing and what you're achieving
- [00:31:48.524]in all of those areas.

- [00:32:53.369]unfortunately that has happened where sometimes
- [00:32:55.552]I as a unit representative of the Durham School
- [00:32:58.303]I wouldn't see some new faculty member's dossier
- [00:33:00.846]until the year they were going up.
- [00:33:02.611]So I really had no opportunity to give them
- [00:33:04.132]feedback in that time period.
- [00:33:06.221]That's why I think the annual that's great
- [00:33:08.180]that civil's doing that.

- [00:33:38.993]even though they have different parents,
- [00:33:41.082]right they have two different parents each but still
- [00:33:42.429]representatives from those units sit on
- [00:33:44.565]our college committee basically your unit
- [00:33:47.131]is selecting it from your full professors.
- [00:33:50.057]And they serve three year terms and every year
- [00:33:52.750]that committee votes for a chair.
- [00:33:56.129]So this year the chair is Larry Rilett from civil
- [00:33:58.797]so he was one of those that's serving
- [00:34:00.712]his second or third year of the term.
- [00:34:03.174]Because your unit representative votes at the unit level
- [00:34:06.900]they don't vote at the college level.
- [00:34:08.723]So of the seven people when they meet
- [00:34:10.859]only six of them are going to vote.
- [00:34:13.100]So even though your unit rep doesn't get to vote,
- [00:34:14.981]they do get to talk and all the discussion
- [00:34:17.291]is supposed to be based only on stuff

- [00:34:58.518]And you'll only get that negative letter,

- [00:35:11.255]At the college level you're given 30 minutes
- [00:35:12.926]to meet with them and then they revote,
- [00:35:14.854]and then the final letter is the one that goes to the dean.
- [00:35:18.824]Now all of those letters are advisory.
- [00:35:21.030]So the unit committee is advisory,
- [00:35:24.165]the chair is advisory, the college committee is advisory,
- [00:35:27.683]the dean is advisory all to the senior vice chancellor
- [00:35:31.317]who makes the final recommendation to the board.
- [00:35:37.888]So that is the brief introduction but I'm
- [00:35:40.547]happy to answer more questions or if you have suggestions
- [00:35:43.252]or best practices or comments like John had made.
