- [00:00:06.000]So before we get started, let you know who I am, you've probably gotten an email from me at some point, and obviously these training emails, my name is Andrea Koeber. I am the ERA specialist in the Office of Sponsored Programs.
- [00:00:18.000]I've been in OSP for almost 9 years, 7 of those years on the pre-award team and 2 years in this ERA role.
- [00:00:26.000]Our format today is going to be a demo of the site. So me talking for a really long time.
- [00:00:31.000]If you've got questions along the way, please feel free to raise your hand if you're in the room.
- [00:00:32.000]If you're online, you can go ahead and use the raise your hand feature and we can call on you to unmute, or you could just put it in the chat and we've got a moderator here who can get that question to me.

- [00:01:34.000]Okay. So, housekeeping reminders before we get started here, maybe not reminders, maybe new information.
- [00:01:42.000]You won't see the OSP module in NuRamp until the 31st. NuRamp itself is live, has lots of other modules that have been live for a long time, but you won't see OSP in your list until next Monday.
- [00:01:57.000]And then also any information that is currently in NUgrant will be migrated over to NuRamp. So all files, all forms, everything will still be there.
- [00:02:00.000]It's just being moved to the new system.
- [00:02:10.000]So to access NuRamp if you've never been there before you go to nuramp dot nebraska.
- [00:02:11.000]dot edu. And you'll see there's a whole bunch of login options. That's because this is a shared platform among all of the campuses.
- [00:02:23.000]So you'll want to choose the UNL login. Click on that. And then it'll take you to this login.
- [00:02:28.000]Should look very familiar. You use this to log in to everything else. So you'll enter your My.UNL credentials
- [00:02:35.000]and hit the login button. The first time that you do log in to NuRamp, you will be presented with an end user agreement to review and accept and then you're also presented with that once a year thereafter.
- [00:02:49.000]If you've already logged into NuRamp for other modules, you've probably already seen this and accepted it.
- [00:02:58.000]Our demo today is going to be in our test site because, as I said, you won't see this in live NuRamp right now and I don't see it either.
- [00:03:05.000]So we are logged in to our test site as what we call an organization unit liaison, so someone who is in the department who assists faculty
- [00:03:13.000]with their pre- and post-award actions. So for the first thing I would like to do is to walk through the menu.
- [00:03:24.000]Something that's been a little confusing to people is how to access the menu. These 3 bars in the upper left hand corner are called the hamburger.
- [00:03:31.000]Because it's like 2 buns and a patty, it's a hamburger.
- [00:03:32.000]If you click that, that'll bring up the list of modules that are currently in the system.
- [00:03:39.000]You click the X, it'll close the list. And then they've also added if you click the word Modules here, it'll open that same list.
- [00:03:48.000]In between those two, we got the NuRamp logo. That will just take you back to this homepage that we're looking at here.
- [00:03:57.000]On the right hand side, we got this plus sign. That's a quick add feature. That will allow you to add a form to any
- [00:04:02.000]module in the system. So say you're logging in and you know that you need to create a new OSP form, you could just go ahead and click that plus and then choose add new form under Sponsored Programs and you'll be taken
- [00:04:17.000]to the page to create a new form.
- [00:04:21.000]Next to that, we've got our system inbox. That is not a new feature. That exists in NUgrant. Just looks a little different in NuRamp.
- [00:04:29.000]If you had anything to sign off on it would show up here. Our test person doesn't have anything to sign off on, but if they did
- [00:04:37.000]it would look like this. And you'd be able to click that link to go to the form to sign off.
- [00:04:49.000]And then finally on the right hand side we've got one last menu that brings up a few options.
- [00:04:57.000]Homepage order we'll talk about in just a second. Alternate approvers and assistants.
- [00:05:02.000]Those are not new. Those exist in NUgrant already and they function the same way in NuRamp. If you have questions on how to use those
- [00:05:09.000]you can either ask me independently or send me an email or give me a call afterwards.
- [00:05:16.000]And then the other thing I'm gonna look at here is my contact information.
- [00:05:21.000]By default, everyone's information pulls in from the NU system. So I assume what's entered in SAP is what we're pulling.
- [00:05:27.000]If you wanted to override that for any reason, you could uncheck this box. And then from there you'd be able to change your name, email, phone,
- [00:05:36.000]address. This only affects NuRamp. It won't change anything in any other NU systems.
- [00:05:42.000]It's just what shows up in NuRamp. So say you have a nickname that you go by and that's what you want it to show up as you can change it here. One other feature that is new for users - it's not new to the system - is that you can change your default department.
- [00:05:54.000]So that's the department that populates when a person is added to a routing form.
- [00:06:02.000]For a lot of people that's incorrect. So right now, our office can change it for people, but going forward in NuRamp, each individual can change their own.
- [00:06:12.000]So if you have a PI, if you're liaison, and you have a PI that departments populating wrong every time you can have them go in and change that so it will update.
- [00:06:18.000]It will populate correctly going forward.
- [00:06:24.000]Alright, and then like I said that the NuRamp logo takes you back to the homepage.
- [00:06:31.000]And on this homepage, you'll see a series of boxes that are called widgets.
- [00:06:36.000]The number of boxes you see and what's in those boxes depends on your role in the system. And you can customize this page to your liking.
- [00:06:44.000]So that's what we looked at up here. This homepage order will take you there, or if you scroll down,
- [00:06:50.000]edit widgets on this page will take you to the page where you can customize your home screen.
- [00:06:56.000]So you have the option of rearranging things and you also have the option of hiding things. So let's say I don't necessarily want quick actions because I know I've got that plus sign on every screen anyway.
- [00:07:07.000]I can move it down under hide the following widgets and then it won't show on the homepage.
- [00:07:12.000]And then let's say maybe I don't do anything with internal competitions, so I'm gonna move that down there as well.
- [00:07:17.000]And then maybe I want my starred items to be first, so I'm gonna click and move that up.
- [00:07:22.000]You'll see there is no save button on this page. It just saves those things automatically. So we'll just click on the logo to go home.
- [00:07:31.000]And we'll be down to just those 3 widgets and in the order that we put them.
- [00:07:37.000]One last thing to highlight on this pagen and it's on the bottom of every single page, there is an email for support, NuRamp dash support at UNL
- [00:07:45.000]dot edu. So if you ever encounter a problem or have questions, you can go ahead and click that and it'll compose, you can compose an email.
- [00:07:53.000]to support, which is me. Any questions on the homepage and the general menus before we move on?
- [00:08:06.000]Alright, so we're gonna click on the hamburger to bring up the menu. Before we get into the OSP menu, one thing I want to look at is called is called personnel lookup.
- [00:08:16.000]This is not a new feature. I believe it's access has been expanded in NuRamp. In NUgrant
- [00:08:22.000]it's called PI Lookup. In NuRamp it's called employee lookup. So from here you can enter someone.
- [00:08:30.000]Just type their name.
- [00:08:34.000]Click on it, click view, and it will bring up any current pending support that they have (that's in the system).
- [00:08:41.000]Obviously it's not in NuRamp, you wouldn't see it here. And that'll allow you to download.
- [00:08:43.000]You can either view it on screen or download a list of the current support and pending support, which is helpful for those people who do
- [00:08:54.000]help PIs put their current and pending support together or PIs put their own current pending support together.
- [00:08:59.000]I don't believe that the PI role has this option right now. So, they may need to rely on their support staff to get this info. But like I said, you can download the CSV and then just share it.
- [00:09:12.000]Alright, we'll go back to the menu and you'll see OSP is in the middle of the menu.
- [00:09:17.000]Not entirely sure why, but that's where we will find it. So we'll click on Office of Sponsored Programs and then we'll get a nice little sub menu.
- [00:09:26.000]Settings you may or may not see and what you see under settings will depend on your role in the system.
- [00:09:32.000]So again, I'm logged into someone with a departmental liaison access. So if they click settings, they will see
- [00:09:39.000]coordinator assignments, predefined routes, and report groups. Coordinator assignments is not currently working in the demo site, but it will show you a list of every org unit and who's assigned as the pre-award coordinator and who's assigned as the post-award coordinator.
- [00:09:54.000]If this is something that you don't have access to or you don't want to get to it this way.
- [00:09:58.000]You can go to the OSP staff directory on our website. And there's a drop down menu,
- [00:10:04.000]you can just choose your department. And it will pull up who your pre-award and who your post-award coordinator is.
- [00:10:12.000](Unrelated to NuRamp...I just like to drop that little hot tip because I think it's helpful for people who don't know who to contact.)
- [00:10:22.000]So next in our settings menu, we've got predefined routes. If you have access to that you will have
- [00:10:30.000]read-only access. You won't be able to make any edits, but you'll be able to see the routes and see who's on them.
- [00:10:38.000]We'll talk about this search at the top here when we get to another page. They all look a little different, but they all function the same.
- [00:10:41.000]So we'll save that for now. So you can see the list of routes. You can see who's on them.
- [00:10:46.000]You do have the ability to click into it, but it's not really going to give you any more information other than what you see there.
- [00:10:54.000]Again, it's just read only.
- [00:10:58.000]And then finally, the last thing in that settings menu for a liaison role is the report groups.
- [00:11:03.000]That is not a new feature; that exists in NUgrant. If you're someone who runs reports on a list of PIs regularly, you can create a group
- [00:11:12.000]that has all their names in it. So then when you go to run the report, you could just have to run it for that one group name and not like 10,
- [00:11:18.000]10 personnel names. In NUgrant that exist. It's under the preferences menu; it's just called groups and it works the same in NuRamp as it does there.
- [00:11:34.000]Alright, I'm gonna kind of walk through the menu from the bottom up. So next we'll go to reports.
- [00:11:39.000]This should look exactly the same as NUgrant. Like it's identical; your access should be the same as well.
- [00:11:46.000]The access that you have to the reports, and the data that you get from the reports, depends on the roles that you've been given.
- [00:11:53.000]So if you are a liaison for a college, you'll see all of the college data. If you just have one or 2 org units, you'll just see their data.
- [00:12:05.000]I'm not gonna click through these. Like I said, they look and function just the same as NUgrant. If you had a questions just reach out to me individually and we could take a look.
- [00:12:15.000]Something that is new is the ad hoc report.
- [00:12:20.000]That will look kind of familiar if you've ever used the organizational unit reports. It's kind of a similar thing.
- [00:12:28.000]It's got a whole bunch of fields that you can narrow down your data to in various categories.
- [00:12:33.000]So sponsor, dates, amounts, tags (we'll talk about later), who worked on it in OSP, does it have any compliance things.
- [00:12:43.000]So this will be a report that you download. It'll be a CSV output.
- [00:12:48.000]One thing to note here, you'll see as I was scrolling through here, my little cursor over here is moving up.
- [00:12:54.000]These are all links. So you can click on that and it'll take you to that point in the page.
- [00:13:00.000]That's a navigation that exists in all of the modules. And so we'll see that later on other pages as well.
- [00:13:06.000]Kind of handy if you know like I just need to look at tags. You can just click tags and they'll take you to the bottom rather than scrolling forever and ever.
- [00:13:16.000]Next in the menu, we've got change forms and that might excite some people, but I'm here to rain on your parade and tell you that we're not going to be using that at go live.
- [00:13:25.000]We will be using it eventually and it will replace the Docusign process that we have right now to change key personnel on a form, but it's not quite ready for prime time at the moment. But rather than holding up go live, we're just going to
- [00:13:37.000]launch without it.
- [00:13:43.000]Next we'll look at projects. We'll skip forms because that's where we'll spend most of our time.
- [00:13:49.000]The projects page looks just like it does in NUgrant. Other than the search is a little odd. But again, we'll talk about that when we get to the forms page.
- [00:14:00.000]It's just a list of all the projects that you can see. And again this list what you see here depends on your access.
- [00:14:05.000]So if you have access to one department or one college, you only see that. This person has access to everything.
- [00:14:09.000]So it's all there.
- [00:14:14.000]Okay, before we move on to forms, which is where we'll spend a lot of time,
- [00:14:18.000]does anyone have any questions about what we've covered so far or anything that I've missed?
- [00:14:24.000]Ooh, so the question is what are the stars? So stars are not new. Stars exist in NUgrant. The colors do not inherently have any meaning.
- [00:14:35.000]If you want to assign them meaning, you can. So, you know, I know that red ones are something that I urgently need to follow up on or something like that.
- [00:14:43.000]But yeah the colors do not inherently have any meeting. But you can use that if you star a form that makes it -
- [00:14:50.000]so let's say - let's start this first form.
- [00:14:54.000]If I can click, there we go. So I've given it a yellow star. So now if I click here, this is just gonna filter and only show me my yellow stars.
- [00:15:01.000]Which is helpful if you're someone who deals with, you have a long list of forms
- [00:15:07.000]that you wanna easily find things, you can do that. You can change the color. If I click it now, it'll remove the star.
- [00:15:13.000]If you click it rapidly, it'll change the color.
- [00:15:20.000]And like I said, it doesn't have any inherent meaning the color, but it's a good way to use, to save forms that you need access either frequently or something that you're working on and you don't want to have to go search for it every time.
- [00:15:34.000]Alright, let's head to forms.
- [00:15:38.000]You'll see forms has even more scary search options. So this...
- [00:15:46.000]There's a new search option. There's a global search in every module and every page has a global search.
- [00:15:53.000]So this one will search either just form ID, project ID, short title, or sponsor. So if you know your form number, you can just type it in this box and hit search.
- [00:16:02.000]Rather than having to use the boxes down here. But it's a pretty limited, you know you can't search a PI name there, you can't search along title, dates anything like that.
- [00:16:12.000]If you know like one word in the short title, can you search just that word? So the question is if you know one word in the short title, can you search just that word?
- [00:16:22.000]Yes. And if it's a like pretty specific word, you'll get, you know, good results. If it's like, you know, and, the, yeah, not real good. Or, you know, like corn,
- [00:16:35.000]soybean. Like that's probably not gonna help you out. Short titles don't always match like the longer title. Right.
- [00:16:39.000]Yeah. Okay. So one thing I haven't pointed out to others so far is that some of these if you hover over them,
- [00:16:54.000]they will give you options. So if you hover over campus, it'll give you the options to narrow it down.
- [00:16:59.000]This not relevant to most people on campus. Most people only have access to UNL, but some people do have access to more than just that.
- [00:17:07.000]Status if you say you're just looking for awarded forms you can hover over that and just check awarded. And you should be able to check
- [00:17:15.000]multiples. Yup. So say I want negotiating award, like I don't know if it's been fully awarded yet.
- [00:17:19.000]I can search those 3 things.
- [00:17:27.000]You will note if you are a keen observer that form and project ID numbers look a little different than they do in NUgrant.
- [00:17:35.000]So a NUgrant, we've just got numbers. In NuRamp every form and project ID starts with UNL dash and then the numbers.
- [00:17:42.000]That is just a function of all of the campuses sharing a system and that's the remedy that they have given us to make sure that we're looking at the right forms.
- [00:17:52.000]Again, most people on campus only have UNL forms. Some have access to more. Like say in our office, in Sponsored Programs, we're the OSP for central, so we would see their forms as well.
- [00:18:05.000]So there's would say I think there's say, still say UNCA. Yeah, it hasn't been updated.
- [00:18:13.000]So. But the form numbers for the forms that migrate from NUgrant will be the same. They'll just have the UNL dash appended to the beginning.
- [00:18:24.000]And you can, you don't, when you search, so say you want to search a form ID.
- [00:18:29.000]You can just search.
- [00:18:33.000]It's not gonna find any because I have too many filters. Oh, cuz it's awarded, there you go. So you don't have to have the UNL dash when you search.
- [00:18:41.000]You can just search the numbers.
- [00:18:45.000]Okay, so now I have a million filters on here and so I'm only seeing one form because I've narrowed it down so much.
- [00:18:51.000]If you want to clear filters, you can either check the X next to individual ones or if you click clear,
- [00:18:57.000]it'll just wipe them all out and you'll get your whole list back again.
- [00:19:04.000]Okay, let's say this giant box of search stuff gives you anxiety like it does me. You can click on options and you have the ability to either move those to the left, so you click filters on left.
- [00:19:16.000]And close this and it will move all of those to the left side and it'll scroll down with you so you're not taking up a whole page of
- [00:19:23.000]real estate at the top. Or you can do compact filters. Which just puts a little search box above each of
- [00:19:32.000]the fields. So you know you're searching for PI. So I just want to type in there.
- [00:19:38.000]Hit enter. And it's only gonna bring up forms with my name.
- [00:19:46.000]You also, if you noticed on the left side here, have the ability to add and remove columns from your display.
- [00:19:53.000]So right now I have them all displaying. If you want to remove stuff because it's not something you necessarily care about in this search, in, you know, in this list of forms, you can uncheck those and then they won't be there anymore.
- [00:20:06.000]You can set your default number of records per page.
- [00:20:11.000]And then you can download the whole data set that you searched for by clicking this save CSV.
- [00:20:16.000]There's also another way on the forms page itself that I'll show you.
- [00:20:21.000]And I have not tried this, but you can save your filter and so you could run that again. I haven't tested that feature, but so if there's something that you search for frequently, you know, a combo of filters, you could save it there.
- [00:20:36.000]And then. Let's see, you'll see at the bottom here we've got limited data set.
- [00:20:43.000]So it's only showing you the top 10 results. If you want to load the rest you can click load more data.
- [00:20:50.000]Or you can go ahead and download the entire data set to CSV without loading it all on the screen.
- [00:20:58.000]The limited data set thing is just a way of kind of saving time as it searches because there's a whole lot of data out there.
- [00:21:06.000]And then something that's not super obvious is you can sort these columns. So if I click on sponsor, it will sort them by sponsor.
- [00:21:17.000]I should have narrowed my data down. It's searching all the fields, or all the forms. But it'll sort, it sorts descending, I think, by default.
- [00:21:26.000]And then if you click it again, it will sort it ascending. Yeah, so now it's put my Z's.
- [00:21:32.000]If I click it again, it will put my A's, oh it will put blanks at the top if there's some with blanks and then it will put the A's.
- [00:21:48.000]So any questions on the this forms page or anything else up to this point before we move on to making a form and looking at how to route one?
- [00:22:04.000]Alrighty, let's get started. I am going to. So the process for making a form, filling out a form, and routing a form is identical in NuRamp as it is a NUgrant.
- [00:22:18.000]Things just look a little differently. But otherwise they function exactly the same. So we'll go ahead and click add a new form.
- [00:22:28.000]Okay, I've got a question online.
- [00:22:34.000]Do you want to unmute or are you going to chat?

- [00:22:42.000]I'll unmute. I was wondering if there's any way to generate a report for all the faculty commitments or their salary budgets for a college.
- [00:22:54.000]So you can run a report, most likely the organized report. And that is exactly the same as a NUgrant.
- [00:23:01.000]So if you were running that data in NUgrant, you'll be able to run that in NuRamp.
- [00:23:06.000]If that's a new report request, no, it's not currently out there then.
- [00:23:10.000]Yeah, that part isn't out there at the current time. Is there a way to put in requests for additional features?
- [00:23:19.000]Yeah, so if you have, feedback or request for features, you can go ahead and send me an email or send the NuRamp Support an email.
- [00:23:25.000]Okay, alright, thank you.
- [00:23:29.000]Another question online. So do these search views save by default? So the question is do the search view save by default?
- [00:23:37.000]Yes they do. So I actually, I remembered this time to go undo all my changes I made last time I did the demo, cause yes, it does save them.
- [00:23:46.000]So if you put those compact filters on there. Those are there the next time you log in.
- [00:23:50.000]It is by page though, so if you go to the forms page and do that, but then you go to the projects page,
- [00:23:56.000]it's gonna default to whatever you have the project page set to. So if you want them all to be the compact
- [00:23:58.000]filters, you just have to change them all individually. But it does remember them across your login sessions.
- [00:24:09.000]Alright, looks like we don't have any more questions at this point. So we'll go ahead and get a new form started.
- [00:24:14.000]So just like a NUgrant, when you start a new form, it's gonna say, is this for an existing project?
- [00:24:19.000]Yes or no? If you say no, you're just gonna get the button to start a new form and it's gonna make a new form in a new project.
- [00:24:26.000]If you say yes, it's going to pull up a search and a list of forms. Again, the list of forms you see here is just what you've been given access to. This account has access to all the data in the test site.
- [00:24:39.000]I think by default I didn't undo this one. It'll show you just the basic search and you can search the table.
- [00:24:46.000]Or you can switch it to that advanced search if that's easier for you to just kinda, you wanna search by title or PI name or anything like that.
- [00:24:56.000]So I'm gonna go ahead and add a new project to our existing form. I'm going to use my test proposal. It's still thinking. There we go.
- [00:25:04.000]So you click the radio button next to the form. You want to add a new form to. Scroll to the bottom, start new form.
- [00:25:12.000]That again that process is exactly the same as NUgrant. So since I, so when you click add new form, it takes you right into the form preparation
- [00:25:31.000]where we can enter the data. And since I added a new form to an existing project it's pulling in information from the prior form just like it does in NUgrant currently.
- [00:25:40.000]So you'll see a lot of things have been filled in. One thing that's important to note.
- [00:25:46.000]Because the system is shared by 3...3 campuses use the OSP module. Like OSP or anyone else can't see your form that you've created until you add the lead personnel on the form.
- [00:25:59.000]So once you add the lead investigator, then that form gets assigned the UNL dash form number.
- [00:26:02.000]Until that point, we can't see it in our office and no one else but you would be able to see it.
- [00:26:13.000]But that is kind of the first thing you're adding to the form. So, and hopefully you would know who your lead investigator is when you're making a form if you're making it for someone else.
- [00:26:20.000]So. You just wanna make sure that that gets added so that our office is able to see it and then at any one else who needs to work on the form can see it.
- [00:26:31.000]As we go through this, I'll note where some questions have been modified or kind of removed, reorganized.
- [00:26:36.000]I'll highlight those. So you just want to pay close attention when you're going through the form the first few times to make sure that you're not just kind of you know, by memory going through stuff because things have,
- [00:26:48.000]have changed slightly. Okay, so this is all filled in because they pulled in from the previous form. So I'm gonna go ahead and check the box and save and go to next again just like you do in NUgrant.
- [00:27:02.000]Since I have a center, I've got all that. I'm gonna go ahead and show you what happens if you try to check the box and save it without filling in the stuff.
- [00:27:10.000]If you don't have the required fields filled in, it will nicely highlight and tell you which field you need to fill in before you can continue.
- [00:27:18.000]That is not a new feature. I just think it looks really nice in the system. It's a lot more obvious where you need to fix stuff.
- [00:27:24.000]In the interest of time, we won't fill everything out, but we will go ahead and walk through the pages just to highlight any differences.
- [00:27:31.000]Title and sponsor, largely the same. I believe the only new thing here is there's a specific upload where you can upload the RFP.
- [00:27:39.000]Or sponsor guidelines. Or, oh what else do we call them? Solicitation, RFA, BAA, all the millions of names that they have.
- [00:27:45.000]It's not a required field. You don't need to upload something there, but I would imagine that the pre-award coordinators would appreciate if you did because then they don't have to go out and find it and also anyone who wants to look at it while reviewing the form would have it as well.
- [00:28:01.000]You'll know note question 5 assistance is spelled wrong and will be fixed, but that used to be called CFDA.
- [00:28:08.000]The feds have changed that they've gotten rid of CFDA. Now it's called an assistance listing.
- [00:28:13.000]But it's the same thing. All the numbers are the same. Again, not a required field, but if it happens to be in the solicitation, if you fill it out, that would be great.
- [00:28:20.000]Otherwise, pre-award does do that on their review after they submit.
- [00:28:25.000]Beyond that, this page is the same. Same questions as NUgrant.
- [00:28:35.000]Let's see, deadline and F&A rate again should be the same. One thing to note is that when you pick research in the purpose code.
- [00:28:47.000]First, it's gonna ask you if it's basic, applied, or experimental. Then it's gonna ask you if it's ag or org. That is flip-flopped from how it is in NUgrant.

- [00:29:20.000]Dates and budget exactly the same as NUgrant. Put in your start/end then your direct/indirect and any cost share and it does the math.

- [00:29:33.000]Abstract is also the same. You'll see it's pulled in from the prior form because I added a form to an existing project.
- [00:29:40.000]You can edit that. You don't have to use what's there. So say you're adding a supplement to an existing project, you can put the abstract for the supplement there versus the abstract for the project overall.
- [00:29:53.000]And then compliance checks is where we will see our biggest changes. Between compliance checks, administrative concerns, and if you are a keen viewer and NUgrant user, you will notice that there is a page missing.
- [00:30:01.000]Export controls does not have its own page any longer. Those questions are still out there. They've just been moved to compliance checks rather than being on their own page in the form.
- [00:30:14.000]So now we just have 9 form pages instead of 10.
- [00:30:19.000]So checkboxes 1, 2, and 3 here are the same as NUgrant. Just assurances that the investigator makes
- [00:30:27.000]when signing off. Four and 5 are new. Four is related to
- [00:30:33.000]foreign influence types things. They are not, it's not a new requirement, but we had kind of 2 hodge podge questions that were on the form that got added over time.
- [00:30:42.000]We've removed those questions and just made it a checkbox assurance that you're saying, yes, I promise I will disclose these things if needed and follow all the rules.
- [00:30:51.000]And then number 5 is an assurance related to, IP. So intellectual property. This used to be a question.
- [00:31:00.000]Like a yes/no question on the form. It wasn't really yielding any good results at proposal stage.
- [00:31:05.000]So, and rather than ask that question, we just put a check box saying, I promise to follow the Board of Regents rules when it comes to IP.
- [00:31:15.000]After that, the page is largely the same. There are some differences when it comes to IRB, IACUC, and IBC.
- [00:31:24.000]Because this is a shared system among the campuses. So if you say yes, human subjects it will say is there an existing IRB? If you say no, good to go.
- [00:31:34.000]If you say yes. You'll get 2 boxes that pop up. That first one is for UNL to use and you can search for your protocol there and add it to the form just like in NUgrant.
- [00:31:45.000]The second one is for UNO and UNK. They don't, use the IRB module currently in NUgrant or NuRamp.
- [00:31:54.000]So they just type something in there. I did test it. If you type something in the test in the box, it's not going to break anything.
- [00:32:01.000]But there's no guarantee that that information gets to our compliance office because they're not using that field.
- [00:32:07.000]One thing to note about IRB is that it will not be moving to NuRamp anytime soon.
- [00:32:13.000]It will be the last remaining module in NUgrant. And there is no date for that transition. Someday it will happen, but we don't have a date for when that will be.
- [00:32:25.000]I believe this is a new question. Will the project require a single IRB of record?
- [00:32:29.000]Yes or no? If you say no. That's it. If you say yes, you do have to type in something.
- [00:32:37.000]And then like I said, the vertebrate animals and the IBC, those work exactly the same as
- [00:32:43.000]the IRB if you say yes to IBC, it's going to pop up the 2 options. Again for UNLn
- [00:32:49.000]we just use the search where you can search for the protocol name there.
- [00:32:54.000]Something that is new to many of these questions is that if you say yes, you have to enter something in a text box.
- [00:33:01.000]So if you say yes, biohazardous materials, you're gonna have to type something in there.
- [00:33:04.000]Ideally something that's helpful to the IBC office so that they just kind of have an idea of what it is that you're up to and what their course of action should be for following up if awarded. There used to be a question just will hazardous materials be used.
- [00:33:16.000]That's been removed. So there's one less question regarding kind of IBC/EHS type of stuff.
- [00:33:27.000]That question wasn't really yielding any information that they felt was necessary, so we've removed it on the new form.
- [00:33:36.000]Question 11 about human embryonic stem cells and fetal tissue, those used to be 2 separate questions they have been combined into one. And again if you say yes you do have to put something in the text box.
- [00:33:51.000]And you'll see that all of this information that we're entering in the text box does show up elsewhere.
- [00:33:56.000]Once we get through the form, we'll look at the form details and you'll see all that where it shows up.
- [00:34:04.000]The plant materials, that's not new. These questions here, 14 through 17 are the export control things that used to be on their own page.
- [00:34:15.000]They may have been rewarded slightly, but it's all capturing the same basic information. And again, if you say yes, you've gotta put something in the text box.
- [00:34:25.000]And then at the very bottom. Ope sorry, that's not on this one. Just kidding. You will note there used to be a general question about foreign travel.
- [00:34:35.000]Like does it involve foreign travel? That's been removed because a lot of people were saying yes because they're traveling to conferences and that's not necessarily what they were trying to capture.
- [00:34:44.000]So instead we've just got this question about restriction on foreign travel.
- [00:34:55.000]And then on administrative concerns, you'll note it's a lot shorter than it used to be.
- [00:34:56.000]The questions that are still here are not new questions. I do believe question 5 about university confidential information has been reworded slightly.

- [00:35:12.000]And then question 7 about the NSF safe and inclusive work - what is it called? - work plan?
- [00:35:20.000]Safe and inclusive working environments for off-campus and off-site research plan. There we go.
- [00:35:21.000]That's currently on the NUgrant form and there is an upload for it, but it's not on the page, on this page itself.
- [00:35:31.000]So now you'll have upload right after the question rather than on a separate page.

- [00:35:52.000]Okay, moving on to files. That looks a little different than it does in NUgrant.
- [00:35:59.000]You'll notice that we now have a draft proposal slash narrative that needs to be uploaded.
- [00:36:06.000]That is a required field. You need to upload something there. Ideally a draft proposal. A statement of work.
- [00:36:12.000]Your abstract. Something like that. Just so when pre-award and others review your form they know what it is that you're up to.
- [00:36:20.000]It helps with things like making sure compliance has been addressed. Making sure that the budget seems reasonable for the work being performed.
- [00:36:26.000]Things like that. Or maybe there's like a subaward in there that wasn't identified elsewhere on the form. Ways for a preward and others to make sure that anything has been addressed before the last minute when it becomes kind of a hurry.
- [00:36:45.000]If you do have your draft proposal, that would be a great thing to upload, especially for sponsors like
- [00:36:52.000]maybe NSF where they have required headings that you have to have in your document. Because then your pre-award person could take a look and say, hey, you're missing this required heading.
- [00:37:01.000]And it'd be nice to get that info like a day or 2 before it's due, rather than, you know, like 2-3 o'clock on deadline day, you figure out that you have to cut like a half a page from your document to add this required form - required field - or you won't be able to submit.
- [00:37:14.000]So if you've got a draft, I'd recommend you upload it.
- [00:37:19.000]Next you'll notice that the budget, the budget uploads have been pulled out separately.
- [00:37:24.000]And I'll show you why it matters where you upload things when we look at the files page itself.
- [00:37:28.000]You can upload multiple files. So you click choose files - I save some dummy files here in downloads -
- [00:37:36.000]so I can check my budget justification and my budget, select them both and open and they will both upload.
- [00:37:44.000]If you upload something, let's say here in my narrative, I accidentally upload my justification.
- [00:37:53.000]No big deal. Click the delete button. It'll cross it out and the next time you save the page, it'll be deleted.
- [00:37:59.000]I do believe that's how it works and NUgrant as well.
- [00:38:02.000]And then finally we've got additional documents. That one's not required. Anything else you want to upload there - if you have any sub docs, any other things that make sense for your proposal to upload, you can upload there, but it's not required.
- [00:38:17.000]Alright, so once you've got your form filled out, you'll save and go to next again, just like NUgrant, and we'll do route setup.
- [00:38:24.000]Your key personnel are always automatically added and then just like in NUgrant if your departments and centers only have one administrative route they automatically get added to the form.
- [00:38:35.000]But if there's multiple routes, you need to go and select. So this one saying I need one route for the vice chancellor for research.
- [00:38:42.000]So just like NUgrant, click the link, choose the route you want.
- [00:38:49.000]And then I can't start routing because I haven't finished the form, but once you've got the form finished and all the routes added,
- [00:38:55.000]click the start routing button and it works just like it does in NUgrant.
- [00:39:03.000]Let's see. So we looked at if you have a form to sign off on, this is what it'll look like in your inbox, you have a form to sign off on.
- [00:39:09.000]This is what it'll look like in your inbox and you can click that link. When you click that link, it's gonna take you to the form details page.
- [00:39:14.000]Where they'll be this nice box at the top telling you that this, form needs your attention.
- [00:39:19.000]It intentionally does not take you to the sign off page because in theory you're supposed to be reviewing the form and its contents before you sign off.
- [00:39:27.000]So I know we've had people say, well, why doesn't it take us right to the page where we sign off?
- [00:39:29.000]That's intentional. Because you're supposed to look at what's out there before you sign off.
- [00:39:35.000]But when you click that get started button, it'll take you to the sign off and it looks just like it does in NUgrant where you have to
- [00:39:42.000]enter your credentials and sign off.
- [00:39:47.000]Any questions about creating and routing a form before we move on?
- [00:39:56.000]Okay, a couple of new features that are in NuRamp versus in NUgrant. You'll see comments at the top here if you click that
- [00:40:05.000]it will show you any comments that are currently on the form and you can also just directly add a comment from here.
- [00:40:10.000]Say you're going through a form and something jumps out at you and you want to add a comment, you can just do it right from this page rather than having to go to the main page to add it.
- [00:40:22.000]And then compare form versions is another one of those things that's not ready for prime time. They are still working on it. That will be more relevant to the compliance modules, but it's a way to compare what a form looked like at certain points in time.
- [00:40:36.000]So like when it, you know, was created versus when it was routed versus when it was awarded, cause changes happen along they way.
- [00:40:43.000]Again, not real relevant for our module per se, especially for the general user, maybe in our office a little bit, but it is not ready for general use at this point.
- [00:40:54.000]I would recommend not going there for now. And then also at the top, is form PDF. That again just works like it does and NUgrant it will generate a PDF of all
- [00:41:05.000]the questions on the form and how they've been answered.
- [00:41:11.000]Looks a little different than in NUgrant, but largely the same. Same concept.
- [00:41:18.000]Alright, so let's finish off here in form details. Which should look semi familiar and maybe you don't know that's what it's called, but it's kind of like that summary -
- [00:41:29.000]it's called the details, but to me it's a summary of all the items that are all the information that's been entered on the form.
- [00:41:36.000]So just like I showed you on the ad hoc report, these over here are all links. So say you just wanna go to comments, you can click on comments, it'll take you right there.
- [00:41:45.000]And then before I forget, I wanna go to files because I did forget to look at that the other day.
- [00:41:46.000]So on a NUgrant currently if you want to look at the files it's more towards the middle of the page.
- [00:41:49.000]In NuRamp it's right at the top here in the key information.
- [00:41:58.000]And then this page should look familiar with a few changes. So you'll notice that there's categories now. So I uploaded those files to that budget upload
- [00:42:08.000]so they give me a category of being a draft budget. If I uploaded a narrative it would show - let me get to my other form. I uploaded all sorts of stuff to my other form.
- [00:42:23.000]So you'll see on this one, I've got the budget, the proposal, the RFP. I've uploaded what pre-award would do.
- [00:42:32.000]They'll put your submit proposal there. You award documents. Those will all be in the exact same place as they are a NUgrant.
- [00:42:45.000]Alright, so let's get back.
- [00:42:49.000]So let's walk through the form details. You'll see this key information that's just kind of who the PI is, when the deadline is, what status it's in, and then who's working on it in our office.
- [00:43:01.000]If you need to get into a form that's been started and you need, you know, say you started it yesterday and I need to go back and enter some more data.
- [00:43:09.000]You go to workflow progress and click on form prep. And that'll take us right back where we just spent our time here.
- [00:43:16.000]To get back click form details.
- [00:43:20.000]And then route setup will take you to that page we looked at where you add the routes. Sign off and review
- [00:43:26.000]will just show you who has already signed off and who is waiting. Who were waiting signature from. And then these final 3 things are just used in our office and those.
- [00:43:32.000]Those existing NUgrant currently they just are in a different place to find them.
- [00:43:42.000]General information should look pretty familiar. That's kind of what the top of a NUgrant form looks like right now.
- [00:43:49.000]Personnel again, same idea. Looks very similar. Other information is where you're gonna find all the answers to those open ended questions that we answered.
- [00:43:59.000]So I have answered every single one of them with a test thing just so you can see what it looks like.
- [00:44:04.000]Currently some of those answers show up in NUgrant, not all of them. So in NuRamp every single one of those shows up here, which is a great way for our compliance folks to just be able to go to this page, scroll down, take a look and see.
- [00:44:17.000]what they think they need to do to follow up, if anything. If you put in protocols here for a human subjects, vertebrate animals, biosafety, those will show up just like they do a NUgrant.
- [00:44:30.000]And they will be links that you can click. Whether you have access to them when you click the link depends on your
- [00:44:35.000]role in the system. So comments. I'm gonna go...I thought I added comments...
- [00:44:43.000]Here we go. I'm gonna show you on my other form that I completed. Comments, kind of look like like you're texting your buddies now.
- [00:44:51.000]So your comments show up on one side and everybody else's comments show up on the other. You do you have the ability to edit your own comments to a certain point.
- [00:45:04.000]For most people, that's when a form is in preparation. Once it's hit routing and beyond, you can't edit.
- [00:45:10.000]But our office can. So if you do think that something needs to be edited, just reach out either to your pre-award person or me and we can assess whether that needs to be edited.
- [00:45:19.000]There is no delete. You can edit and say it was an error, it no longer applies, or something like that, but there is no delete option.
- [00:45:26.000]The comment history will be saved in the background it just won't display on the form.
- [00:45:32.000]That is intentional.
- [00:45:35.000]Let's see here. Routing comments that is the same as NUgrant if someone's put a comment when they signed off or if someone declines for them they have to put a comment that's where it'll show up.
- [00:45:47.000]Your abstract now shows on the homepag. Submission instructions show on the homepage. That is a new feature; right now only pre-award can see those.
- [00:45:56.000]So, if you, this is particularly helpful for things like subawards. So obviously the most useful information you can put there, the better, you know, not just like "email to UNMC."
- [00:46:09.000]That is not helpful. You're pre-award person needs to know to who they need to send the email at UNMC.
- [00:46:10.000]You know, email to blah blah blah, and here's their email address would be much more useful there.
- [00:46:21.000]This one was an NIH.
- [00:46:24.000]I just put ASSIST. You'll see there's a section for change forms. Again, we won't be using those right now, but when we do use them, that information will display right here on the form details.
- [00:46:34.000]And then tags are new. So let's talk about tags. I need to go to my other form because I can't edit tags on this one because it is completed and fully awarded.
- [00:46:45.000]So, tags are managed in our office. So our office will establish what the list of tags is. But anyone can add or remove a tag from a form.
- [00:46:58.000]But again, how long you can do that depends on your access. So PIs and liaisons as long as the form is in preparation, they can add and remove tags.
- [00:47:07.000]Beyond that, it has to come to our office to add or remove tags. So, sometimes this is like the one I think of the most we get asked like, how many NSF career proposals did you submit last year?
- [00:47:18.000]We don't have a good way to like pull a report on that. Currently we use like the short title and trying to make sure they have CAREER in the short title because we can report on that.
- [00:47:27.000]But now we can just add a tag that says NSF CAREER. And then when I go to that ad hoc report, I can do like July of 2022 with the NSF CAREER tag and then I can pull exactly how many NSF CAREERs were submitted.
- [00:47:41.000]Or the other example that's obviously most recent is the COVID-19. So when that happened we like threw a question on the form like is this research related to COVID-19?
- [00:47:52.000]And the problem with just adding questions to the form is that like past forms then don't have that question because they didn't exist then so the data gets a little wonky.
- [00:48:02.000]So now we can just do a tag. This was, yes, this was COVID research. We can just add the tag
- [00:48:07.000]to the form. Another thing we could ask for, you know, EPSCoR FIRST proposals, we can track those kind of same, same way as the NSF CAREERs.
- [00:48:16.000]Or one thing we talked about is the Office of Proposal Development if they're involved on a form we could add that tag, cause that'll let people know that they're involved and then also that would be a way for them to kind of track some metrics as well.
- [00:48:29.000]This list of tags will, this is obviously just my sample random idea tags.
- [00:48:30.000]This list will be, you know, kind of curated and populated as we go and as we determine how best to use the tags.
- [00:48:44.000]And then finally status changes that should look fairly familiar I think in NUgrant it's called timestamps but same thing bottom of the page just kind of shows you - here let me go to my one
- [00:48:55.000]that is already fully routed and what not. That one will have more examples.
- [00:49:05.000]See you'll see it's gone through the whole process and who did what. Something that is new as you have an option to generate a PDF at each point in time and that will be the data that was on the form at that point in time.
- [00:49:17.000]And things do change along the way. So you know, you're routing your draft budget and maybe it changes, maybe the title changes, you know, things like that change along the way.
- [00:49:24.000]And so at, proposal submission pre-award goes through and make sure like the title matches what was submitted and the dates and budget and all that match.
- [00:49:27.000]So it is possible that a form doesn't look the same when it was started routing. As it does when it was submitted to sponsor or awarded.
- [00:49:39.000]So those PDFs just kind of give you a nice way to look at a snapshot in time, if that's something that interests you or is relevant to whatever it is that you're looking at.
- [00:49:51.000]And then I'm gonna head back to the top here.
- [00:49:58.000]Go to my new form we just made. So you'll see on this new form that I just made, there's a delete this form button.
- [00:50:04.000]You can delete your own forms and again the when you can delete a form depends on your access for most people when it's when it's in preparation.
- [00:50:13.000]So this form we started is still in prep. We didn't finish it. We didn't route it.
- [00:50:16.000]So I could delete this form if I wanted to. If I go to that original form that I've already fully awarded, you'll see there is no delete form button because this person doesn't have the access to do that once it's past preparation.
- [00:50:28.000]If you're not comfortable the deleting forms, that's no big deal. You can reach out to your pre-award person or to me and we can go ahead and determine if deleting would be
- [00:50:36.000]the best course of action. Once you delete a form, I don't have a way to un-delete it.
