- [00:00:01.410]Let's take a quick tour of NvolveU and highlight the features you as
- [00:00:05.520]an RSO leader will need to know about to be successful. First,
- [00:00:09.930]when you log in to NvolveU, you will land on the home page.
- [00:00:13.260]This homepage features the events and organizations on campus,
- [00:00:17.610]as well as RSO news any forms your RSO may need.
- [00:00:22.620]You'll also see yellow boxes on the top of the page.
- [00:00:26.070]These are common alerts that we keep active so that your RSO has access to
- [00:00:30.420]different resources that you need. This common resources tab will always be available and
- [00:00:35.400]features the annual orientation slides, our three business day policy and other useful
- [00:00:40.230]tools. Each individual user's homepage is then personalized to them.
- [00:00:45.240]Your memberships will show up here as well as any events you have RSVPd to in the
- [00:00:49.800]coming days.
- [00:00:51.420]Every student at UNL has access to NvolveU and is able to check out and
- [00:00:55.770]look through upcoming events and organizations that are on campus.
- [00:01:00.030]It's important to keep your organization's portal up to date,
- [00:01:03.540]and we'll help you with the tools you need to make that happen. First,
- [00:01:07.950]we'll look at your account settings. Like most web based platforms NvolveU
- [00:01:12.090]bases everything you submit back to your individual user account. To edit these
- [00:01:17.220]settings, navigate to the top right hand corner of your screen.
- [00:01:21.240]You will either see a profile picture or a gray circle with your first initial.
- [00:01:26.340]Click on that. This opens your user drawer.
- [00:01:30.450]This drawer has all the features for your account that you can have access to.
- [00:01:35.310]Your event pass. You should download that.
- [00:01:37.230]So you have that available for on-campus events, as well as your event history,
- [00:01:41.970]memberships, submissions, and notifications are available here.
- [00:01:47.190]But today we're going to focus on our account settings.
- [00:01:50.220]This is your account or profile page.
- [00:01:54.000]What's important to note is most of this comes to us straight from the registrar.
- [00:01:58.170]You won't be able to edit your campus email address.
- [00:02:01.050]That's the campus address issued to you,
- [00:02:04.110]but you are able to edit your preferred email address.
- [00:02:08.520]If you use a Gmail account more often,
- [00:02:10.890]and you'd like your notifications sent to that Gmail account, enter it here.
- [00:02:15.780]If no preferred email address is listed the system will automatically utilize
- [00:02:19.980]your campus email address.
- [00:02:21.960]Make sure to select an email address that you use frequently so that you get
- [00:02:25.950]those notifications right away. Next,
- [00:02:29.130]we will look at your privacy settings. Here
- [00:02:31.800]you'll be able to determine what other campus members can see in those campus
- [00:02:36.240]members have walked into the UNL system. And on the organization
- [00:02:41.100]roster settings, you can determine how you show up on those rosters.
- [00:02:45.600]If you are a president, treasurer or primary programmer,
- [00:02:48.780]make sure you've set that to show, which is the default setting.
- [00:02:53.040]This is important as multiple offices on campus,
- [00:02:56.160]do check your RSO portals to make sure you're in compliance and make sure you've
- [00:02:59.800]been trained to use their services. If you hide that information,
- [00:03:04.390]you won't show up on the portal and they might not be able to help you out.
- [00:03:08.500]Additionally, for our presidents and treasurers,
- [00:03:10.720]you'll be signing payment requests vouchers. The payment request system,
- [00:03:15.520]as well as NvolveU talk to each other and update each other on the
- [00:03:18.790]positions.
- [00:03:20.140]If you are not visible as a president or treasurer,
- [00:03:23.950]the SOFS payment request system,
- [00:03:25.540]won't recognize you and we'll be able to send you those requests to sign.
- [00:03:30.580]Next, we'll talk about your notifications.
- [00:03:32.860]This is also important because this is how our office will communicate with you.
- [00:03:37.330]If you submit an event request and we ask you a question,
- [00:03:40.960]it's ultimately your responsibility to make sure that question is answered.
- [00:03:45.040]The easiest way to do that is to turn on notifications.
- [00:03:49.960]Here, you can see a list of common notifications and then advanced notifications.
- [00:03:55.240]We always suggest students select email. You are welcome to utilize the system,
- [00:04:00.010]but we found it most successful when students get alerted to their email,
- [00:04:03.400]that they have an NvolveU notification.
- [00:04:06.760]Now we'll look at the various tools at your disposal to manage your organization
- [00:04:10.780]NvolveU. Navigate to your RSOs homepage.
- [00:04:16.060]Once we've assigned you and your president treasurer or primary program or
- [00:04:19.450]position, you will see this manage organization button in the top right hand corner.
- [00:04:25.240]This will take you to the manage organization homepage.
- [00:04:28.540]This page provides just a little bit of information about your RSO, the name,
- [00:04:33.250]the primary contact number of members in the opportunity to reregister your
- [00:04:37.780]RSO.
- [00:04:40.420]Remember you do need to re-register your RSO annually:
- [00:04:44.740]when your officers change. Also, if you update your constitution,
- [00:04:49.420]please re-register, so ASUN can review your updated constitution.
- [00:04:55.060]If your RSO is frozen or locked,
- [00:04:56.980]there will be an alert here that indicates how you can get back into active
- [00:05:01.000]status. To access any of the,
- [00:05:04.630]any of the tools provided in NvolveU,
- [00:05:06.370]simply click on the menu under the N next to your RSO’s name.
- [00:05:12.100]This opens what's called the organization toolbox.
- [00:05:16.930]There are all sorts of organization tools that you can utilize. Today,
- [00:05:20.530]we'll talk about the roster, about, and events features. The additional
- [00:05:24.550]organizational toolbox items have videos on how to utilize them on our
- [00:05:29.170]website. First, let's look at the Roster feature.
- [00:05:34.180]On this feature, you'll see all the people who are in your RSO.
- [00:05:38.710]This could be anyone who has asked to join your RSO, or that you have invited.
- [00:05:44.560]You can invite new people by clicking the invite people button. You'll be
- [00:05:48.610]prompted to enter up to 500 UNL affiliated emails.
- [00:05:53.320]Invited students will then be sent an email to join your RSO.
- [00:05:57.890]You can track who has or has not joined your RSO from that invite people
- [00:06:02.450]option in the pending box tab.
- [00:06:07.570]Here, or you can re-send the invitation,
- [00:06:09.430]or if you need to delete the invitation.
- [00:06:13.330]Students can also ask to join your RSO by using the join
- [00:06:17.080]now button on the front of your page.
- [00:06:20.650]Those students will go into the perspective tab. Here
- [00:06:25.270]we can see Dance Marathon has a number of prospective students.
- [00:06:28.960]They can either choose to approve, deny,
- [00:06:32.470]or send them a message to discuss their formal recruitment process.
- [00:06:37.330]On the current tab,
- [00:06:39.880]you can see a number of folks have positions within the RSO. To edit
- [00:06:44.590]anyone's position, simply click on the pencil icon to the right. There,
- [00:06:49.060]you can add anyone into a position your RSO has created.
- [00:06:53.860]Keep in mind, you cannot assign someone
- [00:06:56.470]president, treasurer, or primary programmer.
- [00:06:59.740]The Student Leadership, Involvement and Community Engagement office will do that
- [00:07:03.340]for you.
- [00:07:03.880]Once those folks have completed annual orientation. To create a
- [00:07:08.740]new position for your RSO, click manage positions. There,
- [00:07:13.660]you'll be prompted to give the position a name and provide some information
- [00:07:18.160]about what access that officer needs.
- [00:07:21.340]We typically encourage student organizations to give their officers all access.
- [00:07:25.900]Once you click create on the manage positions page,
- [00:07:28.390]you'll come back to the main roster page where you can assign someone in that
- [00:07:31.960]position. Now let's look at your about section.
- [00:07:36.040]This is where the information for your public facing profile will live.
- [00:07:40.690]You can't change your name here. If you'd like to change your name,
- [00:07:43.780]please re-register your RSO.
- [00:07:46.120]And we will work with you and ASUN to complete that process. Here,
- [00:07:50.890]you can provide a short tweet-like description of your RSO,
- [00:07:54.310]make it easily searchable. And here you can provide a more full description.
- [00:07:59.320]You can even include video links to embed themselves.
- [00:08:04.030]We encourage student organizations to fill out as much contact information as
- [00:08:07.990]possible
- [00:08:08.740]so interested students can connect with you specifically on your social media
- [00:08:13.420]platforms. Finally, you'll see, at the bottom of this page,
- [00:08:18.010]the SOFS number,
- [00:08:19.060]this SOFS number has been assigned by student organization financial services.
- [00:08:23.410]If no number is listed or you're unaware of what your number should be,
- [00:08:27.190]please reach out to SOFS directly to get that number.
- [00:08:30.760]Make sure to click update at the bottom of the page when you're complete.
- [00:08:36.580]Next, let's look at the events tab. On this page,
- [00:08:40.480]you'll be able to create a new event,
- [00:08:43.420]or you can look through all of your approved events that are coming up or have
- [00:08:47.350]been already completed.
- [00:08:52.600]Once you click create an event, you'll be able to start your EPR.
- [00:08:57.150]We'll cover the specifics of your EPR and the reviewers,
- [00:09:00.060]and a little bit more depth during annual orientation.
- [00:09:04.380]Start your EPR with a good title,
- [00:09:06.600]select a theme, and give a brief description of why the student should
- [00:09:11.400]attend your event. Next,
- [00:09:14.970]make sure to click the right date and time as well as the correct
- [00:09:19.560]location. You can host the event online or an in-person event.
- [00:09:27.380]One great feature is this, add another date option.
- [00:09:30.470]This allows you as a student organization to combine up to 16 of the same
- [00:09:35.180]type of event together. So bi-weekly meetings, monthly meetings,
- [00:09:40.010]weekly meetings can all be combined onto one EPR to make those approval
- [00:09:44.360]processes quicker and more seamless for our student organizations.
- [00:09:51.560]Click on next, and you'll be taken through the rest of the EPR approval process.
- [00:09:56.660]Make sure to answer all the questions, openly and honestly,
- [00:10:00.890]so that we can identify the services you may need to be successful and connect
- [00:10:05.240]you. Don't forget to click submit on the last page.
- [00:10:09.350]Then the Student Leadership, Involvement and Community Engagement team will add
- [00:10:13.760]the necessary reviewers and help you out throughout the review process.
