- [00:00:03.810]some general information that's
- [00:00:05.840]good to know
- [00:00:06.480]before using the budget
- [00:00:07.770]template. Most of this
- [00:00:09.220]information can be found on the
- [00:00:11.100]tips and tricks sheet when
- [00:00:12.810]first opening the budget
- [00:00:14.450]template workbook. It is
- [00:00:17.120]always a good idea to first
- [00:00:18.540]start by downloading a fresh
- [00:00:20.090]budget template.
- [00:00:21.080]Several things may change in a
- [00:00:22.940]year such as fringe benefits,
- [00:00:24.930]mileage rates, or F&A
- [00:00:26.640]rates. The current template can
- [00:00:28.780]be found on sponsor programs
- [00:00:30.770]forms and templates
- [00:00:31.860]webpage. When first opening the
- [00:00:34.550]template you'll want to click
- [00:00:36.620]the enable editing
- [00:00:37.640]then enable content prompts.
- [00:00:39.880]Macros are embedded throughout
- [00:00:42.130]the workbook and
- [00:00:43.140]enabling these macros before
- [00:00:44.590]you start working in the
- [00:00:45.740]template is a critical
- [00:00:46.960]part to ensuring that the
- [00:00:48.470]template operates as it should.
- [00:00:50.600]The template
- [00:00:52.020]contains five major categories
- [00:00:53.970]of sheets. First there is a
- [00:00:55.680]start here sheet
- [00:00:56.620]which contains general project
- [00:00:58.380]information. Second is the
- [00:01:00.230]personnel sheet
- [00:01:01.240]where the effort for any UNL
- [00:01:02.920]personnel paid on the project
- [00:01:04.730]will be included.
- [00:01:05.720]Third is the direct cost sheet
- [00:01:07.920]where most of the direct costs
- [00:01:10.120]other than
- [00:01:11.020]personnel will be entered.
- [00:01:12.810]Fourth there are several
- [00:01:14.310]calculator sheets built in
- [00:01:16.300]to help calculate lines such as
- [00:01:18.530]travel costs, supplies, and
- [00:01:20.940]study subject
- [00:01:22.100]payments among others. These
- [00:01:24.280]calculator sheets remain hidden
- [00:01:26.600]until activated using the
- [00:01:28.070]appropriate checkboxes. Finally
- [00:01:30.520]the fifth sheet is
- [00:01:31.840]the output. The template is
- [00:01:33.680]programmed to rearrange the
- [00:01:35.460]data entered into the
- [00:01:36.860]first four sections to generate
- [00:01:39.040]a variety of outputs that
- [00:01:40.800]reflect budget
- [00:01:41.860]formats for most of the larger
- [00:01:43.550]sponsors. We'll dig deeper into
- [00:01:45.810]each of these
- [00:01:46.420]categories in later videos.
- [00:01:49.360]Throughout the template there
- [00:01:51.320]are yellow and blue
- [00:01:52.480]cells. The yellow cells are
- [00:01:54.540]unlocked for data entry.
- [00:01:56.580]The blue cells have drop down
- [00:01:58.370]boxes that should be used to
- [00:02:00.160]select the appropriate
- [00:02:01.360]response for that particular
- [00:02:03.300]cell. There are also checkboxes
- [00:02:06.120]found in a couple of
- [00:02:07.140]sheets. These checkboxes make
- [00:02:09.500]optional sheets available. The
- [00:02:11.660]optional sheets
- [00:02:12.760]include items such as cost
- [00:02:14.520]share sheets and calculator
- [00:02:16.440]sheets. We'll look more
- [00:02:18.480]closely at these in another
- [00:02:21.040]video. You should avoid copying
- [00:02:24.130]and pasting as it can mess up
- [00:02:26.560]some points.
- [00:02:26.560]If you do paste make sure to
- [00:02:29.380]paste values only or formulas
- [00:02:31.620]only. To do so right-click and
- [00:02:34.840]select
- [00:02:35.240]the correct paste option. Also
- [00:02:37.330]only paste one cell at a time
- [00:02:40.140]to ensure that copied cells don't
- [00:02:42.520]get pasted into locked area of
- [00:02:44.560]the template. Finally when
- [00:02:47.090]saving the budget workbook it's
- [00:02:50.000]important to save it as an XLSB
- [00:02:52.400]file which should be the
- [00:02:54.340]default or as an XLSM
- [00:02:56.540]file format. If saved as any
- [00:02:59.060]other format the macros will be
- [00:03:01.300]wiped from the
- [00:03:01.920]workbook and will not function
- [00:03:03.480]as it should the next time it
- [00:03:04.860]is open. I hope
